Recover Pending Invoices in D365 F&O

Pending vendor invoices play an important role in D365 F&O to allow users to create, edit, and submit vendor invoices before the invoice can be posted and eventually paid to the vendor.  Similiar to journals, only one user can be in the pending invoice at a time, as not to create competing changes. Since pending invoices can only be accessed by one user at a time, the sytem locks, or marks the invoice as "in use" at the time a user opens the record. As with most applications, there are scenarios where this lock or "in use" functionality is not released when a user closes the record. Luckily, Microsoft identified this as an area where a manual release may be needed and created out of the box functionality to allow users to release them.  Lets take a look into why these hang-ups might happen and how we can release these invoices in bulk. 

Why Do I Need To Recover Invoices?

There are instances when a pending invoice might be stuck in a state where it is considered “in use,” even when it’s not actively being edited. This situation can occur due to various reasons:

Before you can recover vendor invoices, ensure that the configuration is enabled. Here’s how:

Once this configuration is changed, refresh you session so you can see the menu item to recover invoices in mass. 


How To Recover Invoices

Rather than recovering each pending invoice individually as an invoice is selected in "Pending vendor invoices", users can use the following process to release invoices in bulk.

Security Considerations

Out of the box, the "Accounts payable clerk" and System Administrator are the only roles that have access to the menu item "Recover vendor invoices." 

Custom security can be created to add this access using the out of box duty or privilege to allow users that should be able to use this functionality to do so.
