12 Tips of D365 F&O - Workflow Status

🎶 In the twelfth tip of D365 F&O, D365 with Brittany shared with me-- how to review workflow status! 🎶

Workflow History

As a system administrator, one area of the system that can oftentimes be overlooked for routine review and preventative maintenance.  System admins and power users alike, can access the following menu item in D365 F&O to review workflows of various statuses, even if the workflow is not assigned directly to them.

Organization administration > Workflow > Workflow history

Review Workflows By Status

Within this menu item, you can view workflows by each status or all at once. Workflow statuses include: Pending, Completed, Canceled, Stopped (error), and Unrecoverable.

One of the main statuses to focus on is Stopped (error). These are workflows that could not complete the flow as designed in D365. Reviewing the error message will not only allow you to work to resolve the current stopped workflow, but to determine if a larger change is required to the workflow to prevent further errors.

Another area to review is Pending workflows. You can see how many workflows are pending, and how much time has elapsed since the initial submission. 

After reviewing workflows and determining if action is needed, users with correct security access can mass recall or resume workflows in the event a change needs to be made to the workflow. The determinination of using a resume vs recall will depend on the change that was required.
